📌 Note: You must have specific permissions to set up user schedules for your clinic. See Modifying a user's permissions.
A standard schedule applies to providers working regular hours on specific days.
You must set up working hours so that appointments can be booked with providers. If your clinic uses eBooking, working hours have to be set up so that patients can request or book appointments.
Provider schedules can be configured by location, appointment types and number of available slots and certain intervals per day.
When a provider is available for appointments, the time appears white on the schedule (as opposed to the standard grey background). This allows users to clearly see provider availability.
From the main menu, click Settings > Scheduling.
You will automatically be brought to the Hours Tab.
Next to the provider's name, click Edit
The Standard, Flex, Holiday window appears.
The Manage Work Hours window appears.
In the top right corner click the magnifying glass to change the zoom level on the calendar. Time slots will change:
50% - you can view 1 hour slots
100% - you can view 30 minute slots
200% - you can view 15 minute slots
300% - you can view 10 minute slots
At the top right corner, click Physical to configure a schedule for in person visits.
Click Virtual to configure a schedule for virtual visits.
The number in brackets indicated the number of working hour slots configured.
In the schedule, choose a day and time slot and click on it.
The Add Work Hour window appears.
Configure the specific working hour slot as follows:
If your clinic has multiple locations, click the location field and select the specific clinic location that the working hours are designated to.
Select the time that you begin to see patients.
Select the time that you finish seeing patients.
Colour on Schedules
You have the option of selecting a specific colour for your work schedule.
This allows for clearer visualization of which schedule belongs to which provider.
Select the number of patients (1-10) you can simultaneously see at a chosen time slot.
Double (or more) bookings show up clearly on the CHR scheduler. All appointments are aligned side-by-side in the time slot, allowing users to see the number of appointments occurring within one time slot.
Select the time interval (5, 10, 15, 20, 30, 45, 60minutes) that patients can be booked for appointments. Patients using eBooking will also see the specific intervals to book in.
For example, if you select the time interval 30minutes, appointments can be made at 8:00, 8:30, 9:00, 9:30 etc.
Show on Schedular
By selecting this option, the specific time intervals will appear on the schedular (thicker lines per interval).
This is relevant for the eBooking feature.
Click On if you want patients to only see and book the next available appointment in eBooking.
This helps prevent gaps in the your schedule.
Select the appointment types you offer during a specific working hour.
Click All to select all appointment your clinic offers.
6. Click Save
7. Once you have added all your working hours, click Save to exit the Manage Work Hours window.
You can edit an existing work hour slot by clicking on it.
You can remove an existing work hour slot by clicking the Trash Can icon in the top right hand corner of the Add Work Hour window.
To indicate lunch or administrative time, do not add working hours in the specific slot.
In the below example, the provider has lunch from 12-1pm daily and admin time from 9am-12pm on a Tuesday.
