Using Heidi AI to write encounter notes

You can launch Heidi directly from an encounter note in the CHR. Use Heidi Scribe to transcribe a conversation with your patient or dictate information about the visit, and generate an encounter note.

Heidi automatically organizes your transcribed or dictated content into a format of your choice, such as a SOAP note, progress note, or clinical summary. Once you have reviewed the generated note, you can push it to the patient’s encounter note in the CHR.

You must first sign up with Heidi and then TELUS Health must enable it in your CHR. For more information on signing up and how to use Heidi, refer to Heidi’s help centre or contact Heidi.

If multiple AI scribes are enabled in your account, you can choose which scribe to use for each encounter. All scribe icons will appear at the top of the encounter. Only one scribe can be active at a time within an encounter. If another scribe is already active, you are prompted to choose whether to start a new scribe session or continue with the previous session.

Steps

1. Click the Heidi AI icon at the top of an encounter to launch Heidi.

2. Heidi opens in a separate browser window with the patient information displayed at the top.
📌Note: If this is the first time you are accessing Heidi, you must sign in.

3. To change your language settings:

a. Click More > Change language.

b. Select the Input language and Output language, then click Save changes. Heidi remembers your preferences for the next sessions.

4. To record your conversation with your patient, click Transcribe. To dictate information without a patient conversation, click the down arrow beside Transcribe and select Dictate.

5. Click End transcribing or End dictating.

6. Select how you want Heidi to generate the note. For example, you can generate a SOAP note, progress note, or clinical summary.

7. Review the generated note and make any necessary changes, then click Push to EHR.

A message appears confirming that the notes were successfully pushed.

📌Note: You can navigate away from the encounter while using Heidi. You do not need to return to the encounter before pushing the generated note. If the encounter already contains text, the notes from Heidi are appended to the existing text.

7. Refresh your CHR browser window to see the notes in the encounter’s Assessment and Plan section.

📌 Note: Each transcription or dictation session can be pushed to the CHR only once.

If you resume the transcription or dictation after pushing the note to the CHR, you can push the updated note. The updated note does not replace the previously pushed note. After refreshing the browser window, delete the earlier version of the note to avoid duplicate content.

8. Close the Heidi AI window when you are finished with the encounter note for the current patient.
