Provider configuration and rostering to family medicine (New Brunswick)

⚠️ Important: This is currently a beta feature, available to a few CHR beta users in order to test and provide feedback. It will be available to more users once the beta period is complete.

Family Medicine New Brunswick (FMNB) rostering connects patients to specific family providers, ensuring guaranteed access to primary care. This model pays physicians based on their patient roster size rather than fee-for-service billing.

Each clinic operates with its own FMNB group. Clinics must assign each patient to a primary provider, but in group practices, patients can see other group members when their primary provider is unavailable. This approach ensures continuity of care and consistent coverage.

To keep data current, the CHR automatically pulls information from New Brunswick Health daily. Roster information syncs at 5:00 AM AST (1:00 AM PT) and provider configuration syncs at 5:20 AM AST (1:20 AM PT).

Steps

  1. From the Billing dashboard, click FMNB Rostering at the top-left corner.

📌 Note: To perform this action, you must have FMNB Rostering permissions (refer to User permissions).

2. The FMNB rostering window opens. There are two tabs: Roster Information and Provider Configuration.

3. The Roster Information tab displays by default and shows automatic rostering updates pulled from New Brunswick's main data registry. These updates include the date the system last received data, the provider ID, and the patient and roster entry information.

📌 Note: When multiple roster messages are received in a single download, a link to grouped messages appears in the Roster messages column where you can see all of your roster messages.

4. During an automatic sync, the system matches patient rostering information using date of birth, gender, and Medicare number.

a. Successfully matched patients already in the CHR appear under Roster Entries.

b. Unmatched or duplicate matches trigger a warning icon labeled "unmatched patient" in the Name column. Click Unmatched Patients to review these cases and either create a new patient or search for an existing patient.

5. If you need to locate specific entries, you can search by Medicare number or Provider ID.

6. If a provider’s roster in the EMR does not align with the information in the central Roster Registry, you can perform a manual sync.

📌 Note: This option is hidden by default to prevent accidental activation and can be expanded by clicking on the chevron arrow.

a. Beside Show roster sync, click the blue down arrow to open.

b. In the Provider ID field, enter the specific provider ID and click Roster Sync.

7. The second tab is Provider Configuration and displays the current provider FMNB configuration broken down by Provider ID, reduction override and membership information.

8. To locate providers, you can search by Provider ID, Group ID, or Group Name.

9. The systemt downloads the most recent data by default, but you can view historical information for any provider by clicking the history icon next to their record.

10. Similar to the Roster Information tab, even though the system automatically updates FMNB information nightly, you have the option for on-demand syncing by Group ID or a specific Provider ID.
