The Encounters list is the part of a patient's chart that contains a summary of all encounters with this patient.

You can open the Encounters list from several areas of the patient chart. Once the Encounters list is open, you can customize what information you see, open an encounter, etc.

Steps

1. Find and open the patient's chart.

2. To access the Encounters list, do one of the following:

  • From the Start/Open menu, select Encounters.

  • In the patient's dashboard view:

    • From the Quick Menu, select Encounters.
      OR

    • From the Latest Encounters widget, select View All.

  • From the Summary view, click the arrow to the right of Encounters.

3. The list of encounters is displayed. Each row in the Encounters list represents a single encounter. Click a row to open that encounter, and then click Back to get back to the full list of encounters.

4. To adjust the appearance of the Encounters list, use the following tools:

  • Click the settings (gear) icon to choose which columns to display. Changes you make here apply to all Encounters lists for all patients, so you don't have to make the same change for each patient.

  • Click and drag the bar between columns to adjust column widths. This change also applies to all Encounters lists for all patients.

All available columns are listed below.

Concern

The presenting issue for the encounter.

A draft icon

indicates that the encounter has not been signed. If no presenting issue was entered for the encounter, this field displays Unidentified Concern.

A feather icon

indicates the encounter has been signed. If no presenting issue has been entered for the encounter, this field displays the signature date.

Created By

The person who created the encounter.

Created At

The date when the encounter was created.

Visit Date

The date of the appointment associated with the encounter. If there is no appointment associated with the encounter, this field defaults to the Created At date.

Signed By

The person who signed the encounter. If the encounter has not been signed, this field is blank.

Signed At

The date when the encounter was signed. If the encounter has not been signed, this field is blank.

Appt - Provider

The practitioner the appointment was booked with, or whose schedule it was assigned to.

If the encounter is not associated with an appointment, this field is blank.

Actions

If the encounter is unsigned, the trash can icon appears. Click the trash can icon to delete the encounter.

If the encounter has been signed, this field is blank.

5. To sort the contents of the list, click a column header. Click the header again to reverse the sort. If the list contains more encounters than will fit on the page, use the scroll bar at the right to move up and down the list.

💡 Tip: Click + New Encounter to create a new encounter for that patient. That new encounter is automatically opened.

6. To view the contents of a range of encounters, click All Encounters. A separate window opens.

Define a date range and click Show. The contents of all the encounters within your chosen date range open in a separate window.

Here you can:

  • Review or read all of a patient's encounter notes, without having to open each encounter separately

  • Click Ctrl {Cmd}+F to search for a word within all encounters, rather than just their titles

  • Copy and paste contents of an encounter.
