⚠️ Important: This is currently a beta feature, available to a few CHR beta users to test and provide feedback. It will be available to more users once the beta period is complete.
📌Note: Before sending or receiving Ocean eReferrals in the CHR, you must create an Ocean account if you do not have one already and then configure Ocean eReferrals in your CHR.
When a provider or clinic sends an Ocean eReferral to you, it appears in your Ocean portal as well as your CHR account’s Inbox. From the inbox, you can view the Ocean eReferrals and any additional attachments. You can forward them to another inbox, view them in Ocean, or create an incoming referral. Once you have created an incoming referral in your CHR, you accept the referral and schedule an appointment or reject the referral. This reflects in your and the sender’s Ocean portal.
Steps
1. From the main menu, click Inbox.
2. In your clinic’s account Inbox, open the New Incoming eReferral Request.
💡Tip: To quickly find the Ocean eReferrals, you can filter your inbox to view only the desired user inboxes and the Ocean eReferrals message type. Refer to Filtering your inbox.
3. Assign the eReferral to a patient:
Search for the patient. Click the magnifying glass and type the patient details to find them. If the matching patient appears in the list, click the patient name to assign the referral to the patient.
If you cannot find the patient, click +Create Patient. A demographics window opens with the patient’s name, sex, date of birth, identification, email, cell phone and full address auto-populated from the eReferral.
When you assign the eReferral to the patient, the Ocean eReferral PDF appears in the patient chart in Patient Files, under the eReferral tab.
4. To send the eReferral to another CHR user inbox, click Forward and search for and select the user you want to forward it to.
5. To accept the referral, create an incoming referral:
a. Click Accept Referral. The New Referral - Incoming window opens.
b. Fill in the fields. For more information, refer to Creating incoming referrals from the inbox.
📌Notes:
The Reason For Referral field defaults to Consultation. Edit the field if required.
You must complete the fields Ordering Provider, Priority, and Status.
To book an appointment, complete the Service Provider field.
The Ordering provider field is populated if you have the provider saved under your CHR Contacts and if their fax number matches that in the Ocean portal.
c. Change the Status to Accepted and complete the required actions like booking an appointment.
d. Click Save & close.
📌Note: Once you have accepted the referral and created an appointment, the referral status in the Ocean portal changes to unconfirmed. When the patient or the service provider confirms the appointment date, the status in the Ocean portal changes to confirmed.
Your incoming referral now appears in the patient chart under Referrals, in the inbox (click Open Referral) or in the Referrals dashboard (list) under Incoming referrals.
📌Notes:
In the inbox, in the New Incoming eReferral Request, the button changes from Accept Referral to Open Referral.
Any additional attachments in the referral appear in the patient chart under Patient Files > All tab.
Changes to the booked appointment in the CHR reflect in the Ocean portal and the ordering provider’s CHR (in the referral under Ocean eReferral Details).
6. To open the eReferrals in the Ocean portal, click View in Ocean. The Ocean eReferral portal opens. For more information on managing eReferrals within the portal, refer to the Guide to Receiving eReferrals.
📌Note: You can only reject a referral in the Ocean portal.
