Get a list of patients matching a set of criteria or search for a patient

The Patient Search analytics dashboard allows you to find patients using patient data or information on appointments, encounters, prescriptions, Qnaires, providers, etc. You can use it to get a list of patients with a specific trait or who match a set of criteria.

📌 Note: Only active patients are included in the report. To search for inactive patients, use the Patient Search - Archived dashboard.

Steps

1. From the main menu, click Analytics.


2. In the Dashboards search field, start typing "Patient Search", and select the Patient Search dashboard.


3. Set your filters (see Filtering analytics dashboards).


You can search patients using patient data or information on their providers, appointments, encounters, prescriptions, Qnaires, bills, forms, lab results, etc.

The most commonly used filters are visible; click More to view all other available filters.

Patient data:

  • PHIN: Patient's Personal Health Identification Number

  • Gender: Gender of the patient

  • Age: Age of the patient

  • Postal Code (First 3 Digits): First three digits of the patient's postal code

  • Status Tags: Tags added to the patient record. Available values depend on your clinic's patient settings (Settings > Patient > Status Tags).

Providers:

  • Primary Physician: Patient's primary physician

  • Referring Practitioner: Patient's referring practitioner

Appointments:

  • Appointment Type: Appointment type of any appointment booked for the patient

  • Appointment Date: Date on which the appointment was scheduled

  • Appointment Practitioner: Provider under which the appointment was booked

Encounters:

  • Encounter Date: Date on which the associated appointment was scheduled or the encounter note was created

  • Encounters Signed Off: Whether or not all the encounters in the patient chart have been signed off

Prescriptions:

  • Medication Date: Date the prescription was written

  • Medication End Date: End date of the medication prescribed

  • Medication Name: Name of the medication prescribed

Qnaires:

  • Qnaire Date: Date the Qnaire was completed

  • Qnaire Name: Name of the Qnaire

  • Qnaire Score: Score of the completed Qnaire, if applicable

Billing:

  • Billing Date: Date of the visit

  • Billing Code: Code of the service provided

  • ICD Code: Code of the diagnosis linked to the bill

  • ICD Description: Description of the diagnosis linked to the bill

"Patient Data" filters work in a specific way. You can use them to get any information available in the patient chart. You must use the Patient Data Field filter in combination with another Patient Data filter (e.g. Patient Data Value, Patient Data Value Numeric):

  • In Patient Data Field, select the category or location of the patient data field. The name of the field follows this structure: Category|Property|Entity (e.g. Demographics|Contacts|Email).

  • In Patient Data Value, or any other patient data filter, select or enter the value you want to filter on. For example, if you selected the Demographics|Contacts|Email field, you could enter "test@telus.com".

    💡 Tip: We recommend you use the contains condition for best results.

4. At the top of the window, click the Load icon. The dashboard is displayed.

The list of all patients who match your search criteria is displayed. The total number of patients also appears at the top of the report.

5. To access a patient chart, click the ID in the first column, then Patient chart. It opens in a new browser tab.

6. To export the data from the report, hover over the report tile, click the menu icon in the top-right corner of the report and select Download data. For more information, go to Downloading data from analytics reports.
