🎞️ View video tutorial: Exporting analytics dashboard data

You can download data from dashboards and export it in different formats. For example, if you need to follow up with patients who do not comply with preventive care measures, you can use the downloaded report to track patients you have contacted.

📌 Note: You must have a spreadsheet application installed on your computer to open a CSV file (e.g. Microsoft Excel, Google Sheets, Apple Numbers).

Steps

  1. From the main menu, click Analytics and open the dashboard (see Viewing analytics dashboards).

  2. To download all reports at once:

    1. Click the menu icon in the top-right corner and select Download.

    2. In the window that appears, select a file format from the list (CSV or PDF) and click Download. A ZIP file is saved on your workstation. It includes a CSV or PDF file for each report in the dashboard.

      ⚠️ Important: Some dashboards may have a gear icon ⚙️ instead of the menu icon. Click the gear icon to download all reports at once.

  3. To download one report:

    1. Hover over the report tile, click the menu icon in the top-right corner of the report and select Download data.

    2. In the window that appears, select a file Format from the list. The available formats are TXT, Excel Spreadsheet, CSV, JSON, HTML, Markdown and PNG.

      📌 Note: We recommend CSV as the standard format.

    3. Click Advanced data options to view all options:

Results

We recommend selecting With visualizations options applied so the export matches what you are seeing on the dashboard.

The exported file will reflect any customisation done for this report, such as relabelling columns, hiding totals or adding conditional formatting.

Data values

We recommend selecting Formatted.

Unformatted values don't include any special formatting such as rounding or special characters.

Number of rows to include

Number of results exported into your file. We recommend selecting All Results.

Current result table: limited to results displayed within the report (maximum of 5,000 rows).

All results: all results that match your query.

Custom: specific number of rows of results.

d. Click Download. The file is saved on your workstation.

📌 Note: Some reports cannot be downloaded individually. You must download the entire dashboard instead.

4. To download only part of a report's data:

a. Click a bar, pie slice, etc. in a graph or drill into a table. A table with detailed information appears in a new window. For more information, see Exploring or drilling into analytics reports.

b. Click Download in the top-right corner of the window.

c. In the window that appears, select the file format and other advanced data options.

d. Click Download. The file is saved on your workstation.
