Variables for use in invoice templates

By default, your clinic has one third-party and one private billing template (called Third Party and Private Pay, respectively). You can create your own custom billing templates, see Creating billing item templates.

Each billing template has its own invoice template associated with it. You can create your own invoice template to associate with the default billing templates or a custom one. You can also edit the existing invoice templates (see Third-party invoice templates). These can be customized with your own text or patient demographic information. You add variables in the same way as you do for letter templates.

TELUS Health can create new invoice templates for you; contact the TELUS Health account management team at CHRAccountManagement@telus.com. To request changes to your existing billing templates, contact the TELUS Health support team through the in-app support bubble (see Contact us).

This article outlines the variables for invoice templates. These variables pull data from various parts of the patient chart and billing items and populate the templates.

Allergies in the patient chart.

Active Medication in the patient chart.

Appointment Practitioner

When you click on this variable, you can select from a list of all appointments made for the specific patient. Once selected, it populates the appointment practitioner.

Appointment Date

When you click on this variable, you can select from a list of all appointments made for the specific patient. Once selected, it populates the appointment date.

Appointment Start Time

When you click on this variable, you can select from a list of all appointments made for the specific patient. Once selected, it populates the appointment start time.

Add Patient Data Variable

Custom patient data in the patient chart.

πŸ“Œ Note: This variable must be pre configured to pull specific items: Category, Property, Visible Data, Sentence Prefix and/or Suffix.

Add Instant Variable

This variable appears as a pink bubble in the template. See Creating Instant Variables for more details on how to configure this variable.

Add Lab Result Variable

This variable appears as a green bubble in the template and pulls from the Lab Results section of the patient chart. This variable must be pre configured to pull specific lab details, Lab Result and Format from the result.

Total Amount

The total amount of the billing item.

Total Due

The total amount of the billing item that is due.

Discount Amount

The discounted amount for the billing item.

Paid Amount

The total amount paid for the billing item.

Payment Notes

The internal notes made by users in the billing item.

Location

Location information (address) associated to the billing item.

Invoice Number

This is an automatically generated number.

Billed Amount

The total amount billed minus discounted amount.

Write Off Amount

The amount written off by the clinic for a billing item.

Refund Amount

The amount refunded by the clinic for a billing item.

Tax Amount

The tax amount for a billing item.

Patient - Identification Name

Patient demographics > Identifications > Identification Type.

Patient - Identification Value

Patient demographics > Identifications > Identification value (and Version Code).

Patient - Coverage Start

Patient demographics > Identifications > insurance Plan Start Date.

Patient - Coverage End

Patient demographics > Identifications > insurance plan end date.

Date of Service

Date the service was delivered / patient was seen.

Payee - Full Name

Billing practitioner's full name.

Payee- First Name

Billing practitioner's first name.

Payee - Last Name

Billing practitioner's last name.

Payee - Title

Billing practitioner's title.

Payee - Email

Billing practitioner's email address.

Payee - Phone Number

Billing practitioner's phone number.

Payee - Fax Number

Billing practitioner's fax number.

Payee - Signature

Billing practitioners signature.

Payee - Credentials

Billing practitioner's credentials.

Payee - Billing Number

Billing practitioner's billing number.

Payee - License Number

Billing practitioner's license number.

Payee - Tax Number

Billing practitioners tax number.

Payment History

History from the Payments section of a billing item.

Billing Item Template

This information pulls from the configured billing item template section.

Additional Billing Item Template Variables

Tax description

The type of tax that is applied to the billing item amount, i.e HST (12%).

Quantity

The amount of billing items billed.

Code

The code of the billing item.

Description

The description of the billing item.

Base Amount

The full amount of the billing item.

Diagnosis Code

The diagnosis code and description associated to the billing item.

Service Code

The time the service was delivered / patient was seen.
