Moving your scheduled virtual appointments to multiple locations

Previously, virtual visits could only be booked in the Virtual location, which is in your CHR account’s time zone. You can now book virtual visits in any location and in any time zone.

In other words, you can book physical and virtual appointments in the same location in the schedule, making booking appointments more intuitive. This also provides a consistent workflow for booking physical and virtual appointments. And, if you have multiple locations in the same time zone, the schedule now accurately reflects which location the virtual visit is for.

⚠️Important: This update does not affect your existing scheduled virtual appointments. They remain in a location called Virtual, with the time zone unchanged.

To avoid confusion and having virtual visits booked both in the Virtual location and a physical location, continue booking virtual appointments in the Virtual location until you have moved your upcoming virtual appointments and provider virtual working hours to your physical clinic locations. Only then do we recommend to start booking virtual visits in the physical clinic locations.

When booking a virtual appointment, make sure Virtual under Location is selected (and not one of your clinic’s physical locations).

For accounts with multiple clinic locations in multiple time zones, to avoid any confusion, we recommend moving your upcoming virtual working hours and booked virtual appointments from the Virtual location to any other physical clinic location (with any time zone) as soon as possible.

If there are upcoming virtual appointments booked in different locations each with their own time zones, you must open every single appointment and edit the location/time zone manually, i.e. you cannot bulk move them all to one location/ time zone.

Update the virtual working hours of each provider

Moving standard virtual working hours

Steps

1. From the main menu, click Settings > Scheduling > Hours

2. Beside the provider's name, click Edit, and select Standard and the Manage Work Hours window appears.

3. Select the Virtual tab to view the schedule for virtual visits.

4. Click a work hour block and under Location, change the location from Virtual to another location.

5. Click Save.

Moving flex working hours

Steps

1. From the main menu, click Settings > Scheduling > Hours.

2. Next to the provider's name, click Edit, and then select Flex.

3. Select the Virtual location working hour slots

4. From the Add Flexible Hour window, under Location, change the location from Virtual to another location.

5. Click Save.

⚠️ Important: Before you can continue to the next steps, you must update all providers' working hours, i.e. move their virtual schedules.

Moving your upcoming virtual appointments to the appropriate locations with the specific time zone

Steps
From the Scheduler, open each booked appointment and update the location to the new location you want the appointment to belong to and click Save.

📌Note: Once you have moved all provider working hours and booked virtual appointments, delete the Virtual location. Refer to Modifying clinic locations.
