Syncing and unsyncing with the Client Registry (PEI)

When you add a patient, if the patient chart is synced with the Client Registry, you see a green Synced banner in the patient header.

If a patient chart is not synced with the Client Registry, you see a red Not Synced banner in the patient header.

The patient chart can be unsynced when:

  • A patient is not added to the CHR through the Client Registry.

  • A patient is imported and there is a duplicate or the patient demographic information (e.g Personal Health Number (PHN), name, date of birth and gender) is inaccurate.

  • A patient is merged with an existing patient in the CHR.

There are times when you might need to manually sync or unsync a patient chart.

📌 Note: You must have the Update CR sync status permission to manually link or unlink patients to the Client Registry. If you require access, please contact your system administrator.

Steps to manually sync an unsynced patient with the Client Registry

  1. From the patient chart, click Sync patient.
    📌 Note: If the patient chart does not have a valid PEI PHN as an identifier, the Sync patient link does not appear and you cannot perform the sync.

  2. A search using the patient's PHN, date of birth and gender occurs in the Client Registry.

a) If a match is found, the patient demographic information updates and the status changes to Synced.

b) If a match is not found, the status remains Not synced.

Steps to manually sync a synced patient with the Client Registry

📌 Note: This is done to get the most up to date information from the Client Registry. For more information, refer to Data exchanged between the CHR and the Client Registry (PEI).

  1. From the patient chart, click Sync patient.

  2. A search using the patient's PHN, date of birth and gender occurs in the Client Registry.

a) If a match is found, the patient demographic information updates and the status stays as Synced.

b) If a match is not found, the status changes to Not synced and an error message is displayed.

c) If a duplicate patient is found in the CHR with the same PHN, the status changes to Not synced and an error message is displayed.


Steps to manually unsync a synced patient with the Client Registry

  1. Click Unsync in the patient chart header.

  2. Select Okay to confirm.

  3. The Synced status in the patient chart header updates to Not Synced and the patient chart is now unsynced.
