Sending Ocean eReferrals from the CHR (Ontario)

📌Note: Before sending an Ocean eReferral from your CHR, you must create an Ocean account if you do not have one already and then configure Ocean eReferrals in your CHR.

To send an Ocean eReferral from the CHR, you create an outgoing referral like usual. Instead of sending the referral to an external provider, you access the Ocean portal from the CHR and complete the eReferral. The patient demographics and the referral attachments appear in the portal when you access it.

After sending an eReferral from the CHR, you receive a PDF copy of the referral, saved to the patient chart and the referral. You can track the status of the referral either within the Ocean portal or within the CHR.

📌Note: Once you send your Ocean eReferral you can no longer edit the referral in the CHR. You must log in to the Ocean eReferral portal to modify any information.

Steps

1. Create an outgoing referral: For more information, refer to Creating external referrals.

The New Referral - Outgoing window opens.

2. Complete or modify the referral.

📌Notes:

  • Leave the Service Provider field blank. When you send the referral to the Ocean eReferral portal, the Service Provider field in the CHR changes to the selected service provider's clinic name and cannot be edited.

    When you access the Ocean portal to complete the eReferral, you select a provider from a searchable database of all healthcare professionals and health care service delivery locations found in the Ontario Provincial Provider Registry.

  • You can change the referrals' Status field until you have completed the referral process in the Ocean eReferral portal. Once the status changes to eReferral Sent you can no longer edit it.

3. Click Save & close.

The referral is saved in the Referrals section of the patient chart and in the Referrals dashboard under Outgoing.

4. To now send the eReferral using Ocean, open the referral and click Ocean eReferral.

5. A warning appears indicating that Ocean will override the Status and Service provider fields and that they cannot be modified. Click Okay.

📌Note: To hide this message in the future, select Do not show this dialog again.

6. The Ocean eReferral portal opens, with the patient demographics pre-populated. Complete the referral process in the portal. For more information, refer to the Ocean eReferral Network.

The sent Ocean eReferral appears in the Outgoing referrals list in the Referrals dashboard with an eReferral Sent status.

💡Tip: To find all sent Ocean eReferrals, filter the Referrals dashboard. Click the filter icon and select Only Show Ocean eReferrals.

A PDF copy of the completed eReferral is saved in the Outgoing Referral under Ocean eReferral Details > Referral reference. When the service provider accepts the referral in their Ocean eReferral portal and schedules an appointment for the patient, it reflects in the Outgoing Referral under Ocean eReferral Details > Appointment date.

A PDF copy of the completed eReferral is automatically saved in the patient's chart under Patient Files.

7. To edit an Ocean eReferral, open the referral from the Referrals dashboard or the Referrals section of a patient’s chart and click Edit in Ocean.

📌Note: If you modify a referral with eReferral Sent status in the CHR, the changes are not reflected in the Ocean portal.

This takes you directly to the referral in the Ocean portal.

8. To view a list of all the patient’s Ocean eReferrals, from the Referrals section of a patient’s chart, click View Ocean Referrals.

The Ocean eReferral portal opens with a list of all the patient’s referrals. To edit a referral, select it.

📌 Note: Track the status of an eReferral at any time from the CHR's Referrals dashboard or the Referrals section in the patient's chart. For more information refer to Tracking the status of Ocean eReferrals.
