Exporting patient charts to a XML file (Ontario)

This OntarioMD Core Data Set (CDS) export format is used when you want to export patients from TELUS Collaborative Health Record (CHR) to later import into a different EMR or CHR system.

This is useful if a provider is leaving one clinic and joining another clinic that uses another EMR software, and needs to bring along all of their patient data, or if you want to transfer a patient’s records to another provider who uses another EMR software.

Exporting patient charts in this format is also useful if you want to import the data into an external tool to perform further patient analysis, such as a business intelligence tool.

Before exporting in XML, the TELUS CHR Support account must enable this feature. Contact the TELUS Health support team through the support chat.

To perform this action from the patient chart, you must have the Export Patient Chart permission. To perform this action from the OntarioMD section, you must have the Data Export permission (go to User permissions).

⚠️ Important: To safeguard patient privacy, store exported XML files on an encrypted or secure location.

You can perform an XML export in two ways, from OntarioMD settings, or from a patient's chart.

Steps

1. From the main menu click Settings > OntarioMD > Export tab.

  • On the right-hand side, click Export.

Or,

From a patient's chart, ensure you are in the Dashboard view, and click Update Information.

  • In the Update Patient window, click XML in the top-right corner.

The Export Patients window opens.

2. Select the patients, providers, and record types to include in the export:

Providers

By default all providers are selected. To include specific providers in the export:

  1. Click the Patients field.

  2. Click Select Practitioners, and the Select practitioners window opens.

  3. Search for and select the providers.

  4. Click Apply.

💡 Tip: This is useful if a provider is leaving the clinic and you only require their data.

Patients

If you are performing the export from a patient chart, the patient is selected by default. If you are in the OntarioMD settings, all patients are selected by default.

If required, to include specific patients:

  1. Click the Patients field.

  2. Click Find Patients.

  3. Search for and select the patients.

  4. Click Apply.

💡 Tip: This is useful if you transfer a group of patient records to another provider or clinic.

Elements

All patient chart sections are selected by default.

If required, to include only specific record types, click each one individually.

3. In the Archive File Password field, a unique password is automatically generated for you. Save this password; you require it to unzip the XML file.

📌 Note: If preferred, you can click into the field and type a personalized password.

4. Click Save and your export starts.

📌 Note: If you are in a patient's chart, the OntarioMD settings opens.

5. When the export Status changes from Pending to Done, in the Actions column, click the download icon.

6. An authentication window opens; enter your CHR login password.

📌 Note: This is not the password you saved when you selected the data to be included in the export.

7. The export is downloaded directly to your computer as a zip file. The below is included in the export:

A text document showing the export details, such as total files.

Patient Name or Provider name folders

The exported data is in a folder with the patient's name, or if specific providers were selected in a folder with the providers name.

Any attachments, such as letters or lab reports are in a separate folder.
