Using the task AI agent

⚠️Important: This is currently a beta feature, available to a select group of CHR beta users for testing and feedback. It will be available to more users once the beta period is complete.

The Task AI Agent automatically detects when tasks are needed during an encounter, moving your workflow from documentation to action, whether you're managing a single follow-up or a complex care plan.

The agent creates tasks only from task templates you have created. Without a task template, the agent cannot create tasks. For more information, refer to Creating task categories and templates.

As you document the visit in the History, Examination, or Assessment and Plan fields, the Task AI Agent analyzes your notes in real time. When the agent identifies information matching a pre-configured task template, it generates an AI suggestion in the Tasks section and pre-fills the task name and summary along with the prebuilt template fields.

Steps

  1. Start or access an encounter from your schedule, from the Visits dashboard, or from the patient's chart. Refer to Starting an encounter.

  2. Begin writing your notes in the History, Examination and Assessment and Plan sections of the encounter. The AI analyzing spinner appears at the bottom of the window, beside the Sign button.

📌 Note: A yellow banner appears if the AI agent is temporarily unavailable. This indicates that you should manually create tasks.

3. AI suggestions appear as distinct badges below the Tasks section after autosave or you navigate away from the encounter.

4. Two counters help you track your suggestions:

a. The AI suggestions counter above the suggestion badges includes both pending and accepted items.

📌 Note: The suggestion count remains constant even as you accept items, helping you track your overall progress.

b. The pending counter, located beside the Sign button, shows only suggestions awaiting your review.

5. Hover over any suggestion badge to preview the proposed addition and its source from the encounter note. This preview helps you quickly assess the relevance of each suggestion.

6. You can quickly handle suggestions either individually or in bulk.

a. Click the checkmark to accept individual suggestions or the X to dismiss them.

b. For multiple suggestions, click Accept all or Dismiss all.

📌 Note: Suggestion badges show a green checkmark once accepted. When you accept multiple suggestions, badges turn grey to indicate processing. If you dismiss all suggestions while one remains open, it closes automatically if you haven't made changes; otherwise, it asks you to confirm. When one provider accepts a suggestion, all providers see the update in real time.

7. Click the AI icon on any suggestion badge to launch the AI copilot, a patient and encounter-specific chat interface where you can request changes to suggestions, for example.

📌 Note: Multiple providers can access the AI copilot simultaneously. Your messages appear in blue and other providers' messages in grey. For more information, refer to Using the AI copilot.

8. When you click a suggestion badge, a detailed new task suggestion opens and a purple AI icon appears next to AI-prefilled fields. The AI automatically suggests the task title and content using available encounter data. If you make any changes to the summary or title, the AI icon (suggestion indicator) disappears.

9. Review and edit the pre-filled information as needed. You can manually fill any fields left blank by the AI Agent.

10. Click Save. The suggestion is marked with a green checkmark and the new or updated task is added to the Tasks section of the encounter. Refer to Viewing and managing tasks for more information.

11. Once you sign the encounter, the suggestion badges disappear. If you unlock the encounter, the suggestion badges reappear.
