Billing Month End dashboards (All/ Insured/Private)

Dashboards listing all billing, payments, write-offs and accounts receivable following standard accounting practices

Billing Month End dashboards are standard monthly accounting reports and include details on billed amounts, refunds, write-offs, discounts, and account receivables by provider. There are three different dashboards:

  • Billing Month End Insured: Insured bills that were submitted to a provincial (Ontario Health Insurance Plan, Medical Service Plan, etc.) or custom (third party) billing agency.

  • Billing Month End Private: Private bills (services billed directly to the patient using Private billing).

  • Billing Month End All: Both insured and private bills.

Steps

1. From the main menu, click Analytics.


2. In the Dashboards search field, start typing "Billing Month End", and select the desired dashboard.


3. Set your filters (see Filtering analytics dashboards). By default, the dashboard displays billing information for the last complete month and all accounts receivable.

  • Change the value in the Transaction/Created Date filter to see more or less results.

  • The A/R Created Date filter determines what is included in the account receivable reports at the bottom. For example, if is before 1 month ago is selected, any outstanding claims created in the last month will not be included in the accounts receivable reports.

  • Depending on the dashboard, you can also filter by provider, payment tag, or fee code, for example.

📌 Note: We recommend using the Transaction/Created Date filter over the Service Date filter; totals will change if bills are added for the service date range after you run the report.

4. At the top of the window, click the Load icon. The dashboard is displayed.

In the first dashboards, you can view the amount billed, paid, refunded, written off or discounted for each provider.


In the Accounts Receivable and Accounts Receivable Tiers dashboards, you can see the balance for outstanding bills. For insured bills, it includes any claim with a balance and a status other than Completed or Cancelled. The Accounts Receivable Tiers dashboard separates outstanding claims by period.


💡 Tip: Accounts receivable is a snapshot at that point in time and can change as claims are paid. We recommend you run this report on the first of the month (it can be scheduled through Looker).


⚠️Important: Reports show a maximum of 5000 entries. Use the filters to refine your results as needed.

5. To view detailed information for a provider, click the total amount in the table for that provider. A detailed list of bills appears. From there, you can click in the Payment ID column to open the bill in the patient's chart. For more information, refer to Exploring or drilling into analytics reports.


6. To export the data from a report, hover over the report tile, click the menu icon in the top-right corner of the report and select Download data. For more information, go to Downloading data from analytics reports.
