Downloading lab reports from OLIS for a single patient

After the OLIS lab interface is configured, you can manually download lab results for a single patient at any time. This is useful when you have new patients and you want to download and include historical lab results in their chart.

The lab results and hospital reports retrieved from the OLIS patient query are displayed in a preview window, and are not automatically downloaded into your CHR Inbox or patient chart. For more information, see Previewing OLIS lab reports and Saving OLIS lab reports.

When retrieving a patient’s lab reports, you can specify search parameters. For example, you may want to download reports only from a specific laboratory, or only for a specific test.

To perform an OLIS patient query, if you are not a provider registered for OLIS, you must select a provider who is registered. You can run the query on their behalf.

📌 Note: If the patient demographics in the CHR do not match those in OLIS, you cannot download reports from OLIS. Refer to Matching a patient in OLIS for more information.

Steps

1. From the patient chart, click Start/Open > Patient Files.

2. Click the OLIS button.

The query window opens, pre-populated with the patient’s name and date of birth. As well, the name of the user initiating the query displays in the Initiating Provider field.

3. Specify a start date and optionally an end date in the Date & Time Period to Search field(s), or Observation Date & Time Period field(s).

💡 Tip: To retrieve historical reports, specify an End Date. The system will retrieve lab reports that fall on or before that date.
📌 Note: The Date &Time Period to Search is the period when the report was last changed. Generally you will search by observation date.

4. In the Requesting HIC (health information custodian) field, select a name from the list.

📌 Note: If you are a provider with a CPSO/CNO number recorded in your profile, this field will default to your name. If you are running the query on behalf of a provider who is registered with OLIS, select that provider's name from the list.

5. Optionally, if you want to limit which lab reports to retrieve, you can specify the following filters:

💡 Tip: If you leave the filters blank, all lab results for the patient are retrieved.

Quantity Limit

If you want to limit the number of test results that appear, enter the number in the field and select the checkbox.

Consent to View Blocked Information

If you get consent to view a private or blocked lab report, click (none) and select Temporary.

In the Authorized by field, select whether the Patient or the Substitute Decision Maker consented. If you select Substitute Decision Maker, also type their First Name, Last Name, and select their Relationship to the patient.

Specimen Collector

To retrieve lab reports only from the lab that collected the specimen, choose that lab from the list.

Performing Laboratory

To retrieve lab reports only from the specific lab where a test was actually performed, choose that lab from the list.

Exclude Performing Laboratory

To exclude a lab report from a lab where a test was performed, choose that lab from the list.

Reporting Laboratory

To retrieve lab reports only from the specific lab that did the reporting and analysis, choose that lab from the list.

Exclude Reporting Laboratory

To exclude a lab report from a specific lab that did the reporting and analysis, choose the lab from the list.

Result View

Select Preview, Summary or Detailed.

The default view is Preview but you can also change it to Summary or Detailed view when looking at the results.

The summary view is a list of the test request names, their status and the results indicator.

The detailed view is similar to the summary view but also includes each individual test and its results.

📌 Note: You cannot save the lab reports to the patient's chart from the Summary or Detailed view.

Ordering Practitioner

To retrieve only lab reports ordered by specific providers in your clinic, select their name from the list.

Copied-to Practitioner

To retrieve only lab reports where a specific provider was CC'd, select their name from the list.

Attending Practitioner

To retrieve only lab reports where the provider in your clinic was the attending provider, select their name from the list.

Admitting Practitioner

To retrieve only lab reports where the provider was the admitting provider, select the their name from the list.

Test Result Status

To retrieve a specific test status, select one from the list.

Test Result Code

To retrieve only one specific test result, select the test result from the list.

💡 Tip: To search for a test, use the Google Chrome search function (Ctrl{Cmd} + F) to open your web browser's search functionality.

Test Request Code

To retrieve only one or more specific tests, select the test name from the list.

6. To perform a real time query in OLIS, click Search.

7. To access previously searched results for the specific patient and provider, click Previews and select a previous date and time OLIS was queried.
📌 Note: Since this is not a live query, any filters set or changed have no effect.

💡Tip: If there are previews, the number appears in brackets on the Previews button.
