Creating third-party and private billing templates

You use billing item templates when you bill patients and/or third parties using Third-party billing. For more information see Third-party billing.

By default, your clinic has one third-party and one private billing template in your CHR: Third Party and Private Pay (see Private and third-party billing code templates).

You can add additional custom billing templates as required. For example, add a custom billing template for an insurance company that uses different billing codes than you typically use.

You can add custom fee codes to your billing template, refer to Private and third-party billing code templates.

Steps

1. From the main menu, click Settings > Billing.

2. Under Billing Item Template, click the gear icon.
A Billing Providers window appears.

3. Click +Add.
A New Payment Issuer window appears.

4. Under the General tab, complete the following fields:

Field

Description

Name

Name of the billing provider, e.g. third party name.

Unique ID Code

Your unique ID code. It can be alphanumerical. This appears under the name.

ID Format

Your unique ID format.

Payment Form Type

Select:

  • General to pull from custom codes when you are creating the bill (see Private and third-party billing code templates).

  • Medical Service Plan to pull the codes from the British Columbia billing system when you are creating the bill.

  • Manitoba Health Card to pull the codes from the Manitoba billing system when you are creating the bill.

  • Ontario Health Insurance Plan to pull the codes from the Ontario billing system when you are creating the bill.

Custom Fields

Click + Add Field to add custom fields that will be available when you create a bill.

An Edit Field window appears:

  1. Under Name, type the field name.

  2. Under Extra, select Required if the user must enter data into this field in order to save the bill.

  3. Click Update.

📌 Note: Base Amount, Quantity, Service Date, Time and Comments are standard fields that are automatically added to your template. Base Amount, Quantity, Service Date and Time cannot be removed.

5. Click Save.
The Billing Providers window appears with the newly-added template.

6. To delete a third-party or private billing item template, click x.

7. Click Close.

8. Refresh your screen to see the changes made.
