Adding a patient from the Client Registry to the CHR (AB)

If a patient's chart does not yet exist in the CHR, and your clinic is configured with Alberta Netcare, you can create the chart from the provincial Client Registry. This ensures you do not create duplicate patient records, and saves time because much of the demographic information will be pre-populated for you.

When you connect to Netcare, the Search Client Registry window now is displayed when you attempt to:

  • Add new patient from local patient search (Patients > New Patient)

  • Add new patient from Patient list search

  • Add new patient while scheduling an appointment

  • Add a new patient from Lab imports

Once you add the patient from the Client Registry, you can record and edit additional demographic information such as address and emergency contacts from the Update Patient section of the chart. For more information, refer to Updating patient demographics.

Steps

  1. Click the new patient icon to search for the patient in the CHR.

  2. If you are connected to Netcare, the Search Client Registry window opens.

📌 Note: If you are not connected, the CHR New Patient window opens. And if your Netcare session times out while you’re searching for a patient, an error message appears and the status indicates Netcare Session: Not Connected. To reconnect, click Connect to Netcare. 3. To search for a patient, you can either:

a. Enter the Identification Type and Identification Number.

b. Enter the First Name and Last Name, and one of Date of Birth, Sex, or Middle Name.

📌 Notes:

  • If the patient only has one name, enter it in both the First Name and Last Name fields.

  • Wildcard and special characters are not supported (with the exception of apostrophes, hyphens, spaces, and periods).

4. Click Search.

5. If no patient match is found, or if more than 20 patients match your search criteria, no results are displayed. Verify that the information entered is correct or try adding more search criteria to narrow the results.

📌Note: The Identification Type field is read-only.

6. If a patient match is found, the patient information appears at the bottom of the Search Client Registry window.

📌Note: The effective date of the primary PHN appears next to the PHN. If the patient has a secondary PHN, it does not have an effective date.

⚠️ Important: The search results will display based on the results provided by the Alberta Health Client Registry. The most likely matches appear at the top of the list, followed by the rest of the matches listed in descending order by confidence score.

7. Select the patient record.

8. If a duplicate patient is found in the CHR, the duplication warning appears. Select the patient and click Confirm to continue.

9. The Review patient information window opens. If the information is correct for the patient, click Confirm to add the patient to the CHR.

⚠️ Important: This information is read-only. You cannot update the Client Registry with your local information from the CHR. If you see that the patient’s Client Registry demographic information is inaccurate, inform the patient to contact Alberta Health.

10. The patient chart opens. If the patient record is successfully synchronized with the Client Registry, Synced is displayed on the patient banner.

8. If a patient record did not sync properly, click Sync patient. Refer to Manual syncing with the Client Registry (AB) for more information.
