📌 Note: Users must have the Patient settings permission enabled. Refer to User permissions for more information.
When managing patient documents, updating the file names can significantly enhance efficiency and standardization. To streamline this process, you have the option to create clinic-specific patient file names.
These file names can also be linked with file tags. When you select a configured file name with associated tags, the corresponding file tag is automatically applied when updating a patient document name.
In addition, you can choose how to separate file names - by a space, underscore, or dash. This is helpful when you use multiple file names for one document.
Steps
1. From the main menu, click Settings > Patient File.
2. Click + New file name and in the New file name window, in the Name field type the file name.
3. Under Associated Tags, select the file tags that best match the file name.
📌 Note: If you do not see a file tag in the list of Active tags, you can configure your own clinic-specific ones. Refer to Configuring file tags.
4. Click Save.
5. To configure how multiple file names are combined, under File name separators, select your preferred separator: Space (default), Underscore (_), or Dash (-), and click Save Additional Settings. For example, if you select underscore, the combined file names appear as <Incoming fax_Blood work>.
6. To edit a file name, click the desired file name to edit. The Edit file name window appears. Edit or update the file name and click Save.
7. To delete a file name, click the X that appears beside the file name.
⚠️ Important: If using the National preventive care model, the CHR has six preconfigured standard patient file names. Do not remove or edit these names since they will be used in the future for compliance reporting.
