When you create an Manitoba Health bill, at the top of the bill, you can modify the defaulted Billing Practitioner, Location (if your clinic has multiple locations) and other bill information. The information you can modify depends on where you're billing from - from an encounter, from the Visits dashboard, or from the Insured Billing area of the patient's chart.

The following table outlines the bill information you can modify.

Location | If you have more than one clinic location, and location is set to Default:
To change the location, click the field, and select one from the list. |
Payment Issuer (if you're billing from the Visits dashboard or from the patient's chart)
Template (if you're billing from an encounter) | Ensure Manitoba Health is selected.
💡 Tip: To make Manitoba Health your default billing item template, click Settings > Billing. Under Billing Item Template, select Manitoba Health from the list.
📌 Note: If the patient is from another province, leave Manitoba Health selected as the insurer and use the Manitoba Health fee codes. For more information, see Billing for out-of-province patients. |
Patient/Identification (This field is available only if you're billing from the Visits dashboard or from the patient's chart.) | The patient's information is auto-populated based on the chart or appointment you created the bill from.
💡 Tip: To update the patient's demographic information on the bill, click the patient's name. This does not update the information in the patient's chart. To change the patient's demographic information on the chart (which will then apply to the bill), click the person icon.

Billing Practitioner | If you are a provider, by default your name is selected.
If you are not a provider, you must select a billing practitioner.
⚠️ Important: The billing practitioner's CHR account must be integrated with Manitoba Health in order to submit bills.
📌 Note: If you created any insured bills before your billing integration is complete, you can manually link them to the billing provider, once set up. Refer to Submitting provincial bills created prior to Manitoba Health integration (Manitoba). |
Service Date (if you're billing from the Visits dashboard or from the patient's chart)

Hospital code | Identifies the hospital or long term care facility in which the service was rendered.

Account number | A 3 character prefix used to identify your clinic. |
Physician number | Provider’s billing number.
💡 Tip: You can add or modify the provider's default billing number from their user profile. Refer to Updating your user profile information (if you're the provider) or Updating a user's general profile information and settings (if you're not the provider). |
Pre-authorized | Yes or No
Idenitifies if the provider and patient received prior approval for the treatment from Manitoba Health for a specific service. (e.g. Rhinoplasty for non-cosmetic purposes)

Idenitifies if the provider was on call while providing this service. |
Extended Clinic Hours | If you bill for a patient visit that was during extended clinic hours, after you enter the fee code(s) for the visit, click the Extended Clinic Hours button to automatically add the appropriate premium code. Refer to Applying extended clinic hour premiums to bills. |
