Creating billing templates

If you often create the same bill for multiple patients, you can create billing templates to speed up your billing process. This is especially helpful for complex or repetitive billing.

When applying the template to a bill, you can add or edit the billing details. When creating the template, you can leave fields blank to be filled in when you apply the template. For example, create a general template for all providers at your clinic by leaving Billing Practitioner blank and then select the provider when applying the template.

📌 Notes:

  • Billing templates cannot be applied from encounter notes. If you do your billing from encounter notes, you should include billing details in an encounter template. For more information, refer to Creating or editing encounter templates.

  • Some fields may be overwritten or removed by the Payment Issuer when using the template. For example, any date and time fields and the base amount.

  • Status and location are not applied from the template.

⚠️ Important: Only users with the Templates permission can create or edit billing templates. Once you create billing templates, all users can use them.

Steps

1. From the main menu, click Settings > Templates > Billing. A list of your current billing templates appears.

💡Tips:

  • Click the list next to the Add Template button to see All billing templates, or only Archived or Active billing templates.

  • To archive a billing template, click the eye icon to the right of its name.

  • To copy an existing billing template, click the copy icon to the right of its name. The duplicate template appears at the bottom of the list with the word copy at the end of its name.

2. To add a new template, click Add Template and the New Billing Template window appears.

3. In the Template Name field, type the name of your template. This is what appears in the search when you apply the template.

4. Select the type of bill from the Payment Issuer list. You should select your province, or any third-party payers configured.

📌 Note: Do not fill out Location and Status, they are not applied as part of the billing template. Add these when you use the billing template.

5. Complete the remaining fields based on the payment issuer you selected. For more information refer to:

📌 Note: The system uses the default diagnosis list that is configured in Settings > Templates > Encounter.
However, if you bill multiple provinces, you can link additional diagnosis sets to different payment issuers. Refer to Linking diagnosis sets to payment issuers. Once a link is created, when you complete the billing template and select the payment issuer, the linked diagnosis set is used.

6. Click Save. The billing template is created and appears at the bottom of the list.
