⚠️ Important: This is currently a beta feature. It will be available once the beta period is complete.

When you create a provincial bill, at the top of the bill, you can modify the defaulted Location (if your clinic has multiple locations), Billing Practitioner, Physician Number, Payee Number, Role, Predetermination, Specialty and Ignore Warnings.

The information you can modify depends on where you're billing from - from the encounter, the Visits dashboard, or the Insured Billing section of the patient's chart.

Modifiable bill information when billing from an encounter:

Modifiable bill information when billing from the Visits dashboard, or from the Insured Billing area of the patient's chart:

The following table outlines the bill information you can modify.

Field

Description

Location

If you have more than one clinic location, and location is set to Default.

  • If the bill is linked to an appointment, the appointment's location is selected for the bill.

  • If the bill is not linked to an appointment, the billing practitioner's primary location is selected for the bill.

To change the location, click the field, and select one from the list.

📌Note: When adding or modifying a service code, Service Location and Medical Site are not linked to the Location field.

Payment Issuer (if you're billing from the Visits dashboard or from the patient's chart)

Template (if you're billing from an encounter)

Ensure New Brunswick Medicare is selected.

💡 Tip: To make New Brunswick Medicare your default billing item template, click Settings > Billing. Under Default Payment Issuer Setting, in the drop-down list, select New Brunswick Medicare .

📌 Note: If the patient is from another province, leave New Brunswick Medicare selected as the insurer and use the New Brunswick Medicare fee codes.

Patient/Identification

(this field is available only if you're billing from the Visits dashboard or from the patient's chart)

The patient's information is auto-populated based on the chart or appointment you created the bill from.

💡 Tip: To update the patient's demographic information on the bill, click the patient's name. This does not update the information in the patient's chart. To change the patient's demographic information on the chart (which will then apply to the bill), click the person icon.

Billing Practitioner

If you are a provider, by default your name is displayed.

If you are not a provider, you must select a billing practitioner.

⚠️ Important: The billing practitioner’s CHR account must be integrated with Medicare Claims Entry (MCE) in order to submit bills.

📌 Note: If you created any insured bills before your billing integration is complete, you can manually attach them to the billing provider, once set up.

Service Date (if you're billing from the Visits dashboard or from the patient's chart)

Visit Date ( if you're billing from an encounter)

If you created the bill from the patient chart:

  • If you are logged in as a billing provider and the patient had a recent appointment booked in your schedule, the date defaults to the appointment date.

  • If you are not a billing provider or the patient does not have an appointment booked in your schedule, the service date defaults to today's date.

If you created the bill from an encounter:

  • If you are logged in as a billing provider and the patient had a recent appointment booked in your schedule, the date defaults to the appointment date.

  • If you are not a billing provider, the date defaults to the Visit Date specified at the top of the encounter.

If you created the bill from the Visits dashboard:

  • The service date defaults to the date of the appointment.

💡 Tip: Click the date to select a different one from the calendar, or to select a date from a list of the patient's Latest Appointments.

Physician number

This is the provider’s billing number.

💡 Tip: You can add or modify the provider's default billing number from their user profile. Refer to Updating your user profile information (if you're the provider) or Updating users' general profile information and settings (if you're not the provider).

Payee number

This is the billing provider's payee number, which determines where New Brunswick Medicare sends payments. If a provider has more than one payee number, select the correct one from the list.

📌 Note: To add or modify the provider's payee number(s), contact the TELUS Health support team.

Role

The Role field defaults to General.

This field displays the role of the service provider in the delivery of the service provided, e.g. surgeon, assistant surgeon, anaesthetist.

Predetermination

The Predetermination field defaults to No.

To send a claim request to MCE for validation only without actually submitting it for assessment, select Yes. For more information, refer to Submitting claims to Medicare Claims Entry (MCE) for predetermination (New Brunswick).

Specialty

If you have more than one specialty, your primary specialty is selected by default.

You can select a different specialty from the dropdown list when creating a claim.

Ignore warnings

This field determines what happens to the claim on the MCE side.

The Ignore Warnings field defaults to No.

Select Yes to override the default on the payment window. The claim receipt has no MCE claim number.
