Modifying a TELUS eClaims billing practitioner, location and other bill details

When you create an eClaim, at the top of the bill, you can modify the default Billing Practitioner, Location (if your clinic has multiple locations) and other bill information ad hoc. The information you can modify depends on where you're billing from - from an encounter, from the Visits dashboard, or from the Insured Billing section of the patient's chart.

Bill information when billing from an encounter:

The following table outlines the bill information you can modify:

If you have more than one clinic location, and location is set to Default:

  • If the bill is linked to an appointment, the appointment's location is selected for the bill.

  • If the bill is not linked to an appointment, the billing practitioner's primary location is selected for the bill.

To change the location, click the field, and select one from the list.

Payment Issuer (if you're billing from the Visits dashboard or from the patient's chart)

Template (if you're billing from an encounter)

Ensure TELUS eClaims is selected.

💡Tip: To make TELUS eClaims your default billing item template, from the main menu, click Settings > Billing and under Billing Item Template select TELUS eClaims.

Patient/Identification

(This field is available only if you're billing from the Visits dashboard or from the patient's chart.)

The patient's information is auto-populated based on the chart or appointment you created the bill from.

The patient’s eClaims insurer identifiers are displayed here. The one in blue is the primary insurer.

💡 Important: Some insurance companies that are part of the TELUS eClaims service, can only be submitted as secondary coverage due to the coordination rules laid out by the insurers. Refer to Submitting to a secondary insurer for more information.

💡 Tip: To update the patient's demographic information on the bill, for example, to switch the primary insurer, click the patient's name. This does not update the information in the patient's chart. To change the patient's demographic information on the chart (which will then apply to the bill), click the person icon.

Billing Practitioner

If you are a provider, by default your name is displayed.

If you are not a provider, you must select a billing practitioner. Click No Provider Selected, and then click No Provider Selected again in the window that appears. Search for the appropriate provider.

📌 Note: Available Billing Provider is automatically set to TELUS eClaims, because the Payment Issuer is set to TELUS eClaims.

⚠️ Important: The billing practitioner must be registered with eClaims and have eClaims integrated with the CHR to submit bills.

Facility/Contact (if you're billing from the Visits dashboard or from the patient's chart)

Leave this field blank.

Service Date (if you're billing from the Visits dashboard or from the patient's chart)

If you created the bill from the patient chart:

  • If you are logged in as a billing provider and the patient had a recent appointment booked in your schedule, the date defaults to the appointment date.

  • If you are not a billing provider or the patient does not have an appointment booked in your schedule, the service date defaults to today's date.

If you created the bill from the Visits dashboard:

  • The service date defaults to the date of the appointment.

💡 Tip: Click the date to select a different one from the calendar or to select a date from a list of the patient's Latest Appointments.

⚠️ Important: This Service Date is not submitted as part of the claim to the insurer. Only the service date on the individual billing items is submitted.

Practitioner Profile

Select the profile that you want to use.

Depending on the selected Location,

the clinic or provider name and provider role appear in the list.

Payable to

If you selected an individual provider in the Practitioner Profile, Servicing Provider is selected by default.

If you selected a clinic in the Practitioner Profile, Clinic/Organization is selected by default.

If you want the insurer to pay the insured member directly, select Insured member.

Where the service was rendered

In-person, at the clinic is selected by default. If the patient was not seen at the clinic, select In-person, at the patient’s location or Virtually.

Injury caused by an accident

By default, the toggle is set to No.

If the injury was caused by an accident, set the toggle to Yes. Then choose an Accident Type from the list and click the calendar icon to select the Date of Accident.

Physician Referral

By default, the toggle is set to No.

If the patient was referred to you by another provider, set the toggle to Yes.

  1. Select the Prescriber Type.

  2. Enter the referring provider’s first and last name in the text boxes.

  3. If this is the first claim for this case, click the calendar icon to select the Referral date. Otherwise you can leave it blank.
