Adding user accounts (with license management enabled)

๐Ÿ“ŒNote: The new license management system only applies to clinics with standard TELUS Health CHR contracts; custom or Input Health contracts are excluded.

When someone new joins your clinic, you can easily invite the new user to your CHR using their unique email address. This email address will become their username and will allow them to contact our support team via email.

Users have access to different features based on their type and classification. You can also create service accounts for administration purposes.

Users can be assigned different roles based on their duties within your practice (refer to Managing user roles). Each role has default access already set, and you can also give a user additional individual permissions (refer to User permissions).

Steps

1. From the main menu, click Settings > Account information. The Account Information window opens.

2. Under Invite members and create profiles, in the Type list, select one of the following user types:

User type

Description

Staff

User who needs non-provider functionality only.

Practitioner

User who provides clinical care to patients and requires a schedule, the ability to bill (or have other users bill for them), the ability to receive electronic lab results.

Service account

Account used for administrative purposes, such as shared inboxes or schedules. This type of account cannot be used to log in to the CHR.

3. If you selected the Practitioner type, in the Type Classification list, select the type of license for the provider:

Classification

Description

Standard

Permanent licensed practitioners (nurses, doctors, allied health professionals, etc.).

Select the classification based on which CHR features the user needs:

Standard: CHR Lite

Scheduling, record-keeping, questionnaires, patient messaging, eBooking, appointment reminders, advanced analytics, CHR Connect app

Standard: CHR Lite + VV

All CHR Lite features + virtual care

Standard: CHR Plus

All CHR Lite features + labs, prescriptions, virtual visits, and provincial billing integration

๐Ÿ“Œ Note: If the user tries to access a functionality that is part of a higher license classification, they are prompted to upgrade, or asked to request an upgrade to their CHR administrator. Refer to Upgrading your user license.

Locum

Health professionals who temporarily take the place of an existing health professional at the clinic for reasons such as vacation, maternity leave or short-term illness.

Clinical trainee

Individuals who are not independently licensed, do not hold billing numbers, and work entirely under the supervision of a primary clinician.

๐Ÿ“ŒNote: This user will not be able to add a billing number in the CHR, and therefore will be unable to bill.

4. In the Email field, enter the user's email address.

๐Ÿ“Œ Note: Every user must have a unique email address. For service accounts, you can enter the email address of the person managing the account, or any other email address.


5. If you selected the Service account type, enter:

  • The First Name and Last Name of the person managing the account.

  • A Display Name. This name will appear throughout the CHR, for example in the Inbox or schedule.

6. If you selected the Clinical trainee classification, enter or select the Expected End of Training.

๐Ÿ“ŒNote: The user will continue to have access to the CHR two weeks after the defined end of training date.

7. If you selected Locum, refer to Adding locums for detailed instructions.

8. Click Invite, or Create for service accounts. For all users other than service accounts, an invitation message is sent to the email address entered for the user inviting them to log in, confirm their information and create a password.

๐Ÿ“Œ Note: Prior to the user logging in, it is highly recommended to set up two-factor authentication (refer to Enabling two-factor authentication (2FA)).

9. The new user appears in the Active members list. Once the user accepts the invitation and logs into the CHR for the first time, their name, title, and either their position, type classification or type are displayed.
